What information we collect
When you use the website enquiry form, we receive your name, email address, selected enquiry type and message. These details are required to respond to a website enquiry; you may instead contact us by email. If you become a client, we may record appointment details, correspondence, agreed goals, coaching notes, your Personal Action Plan, and payment or accounting records. Please avoid including medical details or other sensitive information in the website contact form. We do not routinely seek or maintain clinical health records.
Why we use information
We use enquiry details to answer your questions and take steps you request before a contract (pre-contract steps); coaching and appointment information to provide the service (contract); accounting records to comply with tax and record-keeping duties (legal obligation); and limited technical and administrative records to protect the site, respond to concerns and run the business (legitimate interests, balanced against your rights). We do not use enquiries to send marketing newsletters without a separate lawful basis and any required consent.
Information about health
Although our coaching is non-clinical, information you voluntarily share about a medical condition, injury or health status may still be legally protected special-category data. Please do not send such details through the general contact form. If information of this kind becomes necessary for an agreed coaching purpose, we will explain the purpose and identify an appropriate Article 9 condition, such as explicit consent where suitable, before intentionally recording it. Otherwise, we will avoid retaining unnecessary sensitive details.
Who handles your information
Our website is designed for Netlify hosting and form processing. Website enquiries are notified by email; Porkbun forwards business-address messages to Gmail. Coaching correspondence, voice notes and calls may use WhatsApp, including WhatsApp Business, and initial consultations may use Microsoft Teams. Coaching documents and administrative records may be stored using Google cloud services. Bank transfers are processed by the relevant banks. These providers may process information in accordance with their own privacy terms. We do not sell personal information and disclose it only where needed to operate the service or meet legal obligations.
Processing outside the UK
Some of our service providers may process information outside the UK, including through international communications and cloud services. Where restricted transfers occur, appropriate safeguards must apply under UK data-protection law, such as UK adequacy regulations or recognised contractual safeguards. You can contact us for further information about relevant providers and safeguards.
How long we keep information
We keep personal information only for as long as needed. Our intended retention periods are up to 12 months for enquiries that do not lead to coaching, up to 3 years after the last coaching service for routine coaching records, and the period required by HMRC for financial and tax records (generally at least 5 years after the relevant 31 January Self Assessment submission deadline). Information may be retained longer where reasonably needed for legal claims or other legal obligations. We review and delete records when they are no longer needed.
How we protect information
We use account access controls and take reasonable steps to protect client information, including limiting access and avoiding unnecessary sensitive details. No online system can be guaranteed completely secure.
Your privacy rights
Depending on the circumstances, you may have rights to access, correct or erase your data, restrict or object to processing, and to data portability. Where we rely on consent, you can withdraw it at any time by emailing us. Withdrawal does not affect processing already carried out lawfully before withdrawal. To exercise a right, email Email about privacy . You can also complain to the UK Information Commissioner’s Office at ico.org.uk .

We do not intentionally use advertising pixels or optional analytics on this website. Our hosting provider may process essential technical information needed to serve the site and handle enquiries. If we add optional analytics, embedded third-party services or non-essential cookies, we will update this notice and request consent where required.
